About WeFlex

Founded in 2016 by Nicko Williamson, WeFlex is a London-based mobility company specialising in electric vehicle rentals and flexible car financing for ride-hailing drivers, including those operating on platforms like Uber and Bolt. The company offers Rent-To-Buy and standard rental plans designed specifically for Private Hire and PCO drivers, giving them accessible, flexible pathways to get behind the wheel of a modern EV.

Over the past several years, WeFlex has grown into a significant force in the UK's private hire sector, building a fleet of over 2,300 vehicles. In 2020, the company made a decisive commitment to go 100% electric — aligning with Uber's 2025 clean air pledge and Transport for London's broader mission to reduce emissions across the capital.

The objective

To establish HubSpot as a comprehensive platform for WeFlex's marketing, sales, and services functions and leverage HubSpot’s automations to improve workflows.

To implement HubSpot and migrate data and processes from a variety of tools including Capsule CRM, Zendesk, and WIX forms.

Tool sprawl

WeFlex was using several different tools across the organization, specifically within the marketing, sales and service management departments. None of these tools were integrated with their CRM, which caused siloed and inefficient processes.

Reporting gaps

WeFlex lacked insight when it came to marketing attribution. They had no way of measuring the success of their marketing initiatives, which put a strain on the team when planning and budgeting for future campaigns and projects.

Fragmented data

The company needed a better solution for data mapping and strategy. Their current records also needed some attention; in particular, they required cleansing and de-duping.

Disjointed lead distribution

Leads were coming in from several different sources but weren't flowing into the CRM. In addition, there were no automations set up so lead distribution was manual and disjointed.

Ad-hoc reporting

By creating bespoke reports and dashboards for WeFlex, Periti enabled the team to answer business questions about marketing performance and investigate trends, plus plan and budget more effectively.

Data Strategy & Cleanup

Periti helped the team devise a new data strategy and implemented improved data mapping. In addition, the team cleaned up and de-duped WeFlex's existing data.

Improved lead management

Periti set up leads from all sources to feed into one single source of truth, HubSpot. And automations for sales sequences and workflows were implemented to ensure prioritisation and tracking of leads.

Full Integration & Automation

From the first inquiry, from sales, to vehicle delivery, service incident and vehicle returns, everything is now orchestrated and automated by HubSpot. WeFlex now has complete visibility on who’s driving which vehicle, when the next service is due, or if a driver hasn’t paid their bill. All Information is available in real-time and the entire vehicle lifecycle is under full control.

Streamlined Sales Leads

Leads from all sources now feed into HubSpot. Automations for sequences and workflows ensure prioritisation and tracking of leads. HubSpot replaced multiple systems and software for email, chat, SMS, and CRM, providing a streamlined tech stack and seamless work process.

Automated Service Workflows

With HubSpot, WeFlex now has automated communications based on due dates, integrated collections and payments, and automated workflows for ticket assignments as well as SLAs for ticket response and resolution times.
